JOB DESCRIPTION

Job Title: Procurement Assistant (Turkish National Only).

Project / Department Title: Procurement.

Direct supervisor / Reports to: Procurement Coordinator.

 

Overall objective of the job:

  • To provide efficient and effective procurement support in compliance with IYD’s and Donor policies & procedures.

 

Roles and Responsibilities:

  • Prepare RFQ documents based on the requisitions.
  • Participate in bidding processes by soliciting bids/quotes from respective suppliers.
  • Evaluate offers from vendors and negotiate better prices.
  • Prepare cost analyses.
  • To prepare draft contracts introducing modification when needed, against a set format for contracts,
    and to present the drafts to the Procurement officer.
  • Maintain updated records of invoices and contracts.
  • Follow up with suppliers, as needed, to confirm or change orders.
  • Participate in Procurement committee meetings as non-voting member to provide all necessary information and answer committee’s quarries.
  • Update internal databases with order details (dates, vendors, quantities, discounts).
    Prepare purchase orders and might be asked to review prices and product specifications from various suppliers to determine which would provide the best deal. Other duties might include creating and maintaining purchasing files and price lists.
  • To be responsible for the organization of all records relevant to contracts and purchase orders handled, including the electronic archiving of such records.
  • Any other duties as requested by the supervisor.

 

Qualifications:

  • A Bachelor’s Degree (Relevant field).
  • Significant relevant work experience will be considered as an added value.

 

Abilities:

  • Knowledge of procurement processes, policies and procedures.
  • The ability to work in a systematic and organized manner.
  • The ability to handle multiple projects simultaneously to meet goals and deadlines.
  • The ability to use Microsoft Office programs including Excel, Word, Outlook and PowerPoint in a professional way.
  • Fluency in Arabic and English, both written and verbal.
  • Self-starter with the ability to work with minimal supervision.
  • Good organizational, multitasking and time-management skills.

 

Experiences:

  • 1 to 2 years of progressively responsible experience in procurement.
  • At least 1 year experience with UN Agencies or an international/National organization is essential.
  • Proven administrative and IT skills, and an ability to maintain accurate records.

 

Physical and personality traits required:

  • Flexible and able to work well under pressure
  • Capable of working collaboratively with team members to achieve objectives.
