ABOUT: IYD – HUMANITARIAN RELIEF ASSOCIATION

IYD is a Turkish, non-governmental, non-profit and has no political association working in various fields of humanitarian relief, development, and education.

IYD was established early 2013 in Turkey, so that, it has become by the end of 2016 spread out over different areas in both Syria and Turkey.

IYD was registered in 2014 with a license No. (34-203/022) and it has been working according to Turkish Organizations Law No. /5253/ under the name:  ULUSLARARASI INSANI YARDIMLAŞMA DERNEĞI

IYD’s office are spread throughout Turkey and Syria as following:

  • Turkey: Istanbul, Gaziantep, Reyhanli
  • Syria: Aleppo-Homs-Damascus-Idleb.

The total number of beneficiaries from IYD projects is 379026 families and 382234 person

JOB DESCRIPTION

Job Title: Program Manager

Project / Department Title: Program Management

Direct supervisor / Reports to: Executive Director

Overall objective of the job: To prepare and organize plans for the programs and to work on their implementation. To prepare projects for the programs and to control the operations as well as to coordinate between the donors and partners in terms of the existing programs of the institution and its physical, human and developmental needs. To create a special budget for each project in coordination with the Financial and Procurement Department.

 

Main tasks:

  • To develop annual plans for permanent establishment projects,
  • To prepare the estimated budgets for the projects that are expected to be approved by the donors to implement them.
  • To work on the continuous development in aims of keeping up with the latest technologies that serve the project.
  • To conduct analytical comparisons, both estimated and actual, of the projects at the level of each item; and to study the deviations and their cause all whilst coordinating with the financial management and the Monitoring and Evaluation Department of the institution.

 

Roles and Responsibilities:

  • To carry out basic management processes (planning, organization, guidance, evaluation, monitoring and evaluation) for program management and staff.
  • Managing the program management staff, monitoring, evaluating their performance and submitting periodic reports to the Department.
  • Preparing the annual and monthly operational plan for all projects in the institution.
  • To participate in identifying the needs required to implement the operational plan from all the following parties: financial or human resources, contracts, partnerships or development programs.
  • To ensure that project activities are carried out as planned and in accordance with quality standards and within the specific time and financial schedule of the donors.
  • Establishing databases for projects.
  • Approve requests for the purchase of all projects in accordance with the implementation of logistics operations for projects
  • Attendance of the interview committees for the appointments of the cadre of projects.
  • To monitor and evaluate the activities of all projects
  • Supervising the preparation of all narrative reports of projects on activities and achievements.
  • To follow-up with the attendance of project officials in the Commission meetings for all donors and to represent the Organization in these meetings.
  • To hold regular meetings with the team to discuss work plans and implementation mechanisms.
  • Ensure that aid reaches its beneficiaries. All projects are optimized
  • To preform relevant work and duties.
  • Coordination with the media department and all other sections of the institution.
  • Making analytical comparisons, both estimated and actual, of projects at the level of each project item as well as studying the deviations and their causes whilst coordinating with the Financial Department of the institution.
  • Implement any other directives or responsibilities assigned by the Executive Director.
  • Develop a safety and occupational safety plan with the Operations Department to protect all project personnel from risk
  • To fully coordinate with the Monitoring and Evaluation Section to ensure the quality of project implementation.

Qualifications:

  • A degree in Business Administration – bachelor’s Degree in Engineering
  • To have comprehensive knowledge of the objectives of the work assigned to him.
  • To comprehensive knowledge of the organizations and associations working in the field of development and humanitarian work.
  • To have a comprehensive knowledge of the regulations, laws and policies of the institution and donors.
  • To have comprehensive knowledge of all sectors of the enterprise (water related- agricultural – animal related – food distribution – education)

Abilities:

  • The ability to formulate and set goals.

  • The ability to prepare the executive programs for the approved plans.
  • To make fact-based decisions.
  • The ability to deal effectively with the many variables that often come together at the same time.
  • Proficiency in Arabic and English (reading, writing and speaking) in addition to Turkish.
  • Professional Computer skills in Microsoft Office programs including: Excel, Word, Talk and others.
